Onboarding your clients

Use this article as a checklist when you onboard new clients to Corpay One.

You can also download this guide here, so you can print it out and keep it with you when you create new clients.

Before you create the client

We recommend that you decide on the following before you start onboarding the client:

  1. Will the account be used with the client involved, or without the client involved?

  2. Will the Advisor or the client pay for the use of Corpay One?

  3. Should the client be able to pay invoices and coworker reimbursements through Corpay One?

  4. Which automated workflows does the client need?

  5. Which of your staff (in the Advisor organization) should have access to the client?

Create the client in Advisor Hub

Follow these steps in the Advisor Dashboard to create the client. Start on the Clients page in the Advisor Dashboard, which you can go straight to by clicking here. Click Create client to get started, and follow these steps.

1. Choose whether Corpay One should be used externally (with the client involved) or internally (without the client involved):

2. Choose whether the Advisor or the client is billed for Corpay One (the latter is only possible for external agreements):

3. Enter the client's CVR number (Danish company registration number) to load data from the CVR register:

  • You can enter several CVR numbers here if you want to create several clients at once.

  • You can also import a list of several clients by clicking Import clients via CSV.

4. Choose which components the client needs:

  • The Pay payment component is not available for internal agreements.

  • The Inbox component cannot be deselected, as it holds the basic functionality in Corpay One.

5. OPTIONAL: Select any workflow templates that should be created on the client's account in Corpay One:

  • You can always create new templates and add them to clients later.

6. OPTIONAL: Choose whether the client should be part of an access group, and whether a user from your staff should be set as the client owner:

The client has now been created!

Set up the client's organization in Corpay One

Make sure the following steps are completed directly on the client's account once it has been created in Corpay One. You can open the client's account under Clients in Advisor, which you can go straight to by clicking here, by clicking the individual client and then Go to client in the top right corner.

1. Verification

Once the account has been created, ask the client to verify themselves and their organization. Read more about account verification in Corpay One here.

  • Personal verification is found under My Profile → Verifications (required, among other things, for coworkers who want to add payment methods).

  • Company verification is found under Settings → Verifications (required, among other things, to meet anti-money laundering requirements and prevent fraud).

2. Payment methods

Add a payment method under Settings → Payment method (only relevant if the Pay payment component is enabled for the client). Read more about payment methods in Corpay One here.

  • Note that this step cannot necessarily be completed the same day - it depends on the client's bank. Read more about this here.

3. Team

Invite the client's coworkers to Corpay One under Settings → Team. Read more about coworkers in Corpay One here.

4. Lists

Create a list of payment methods/offset accounts for receipts under Settings > Lists (not relevant for clients who connect Corpay One to Billy). Read more about receipts in Corpay One here.

5. Integrations

Set up the integration to the client's accounting or ERP system under Settings > Integrations. You can find guides for Corpay One's integrations here.

6. Workflows

Create the workflows needed to automatically assign approvers, run actions such as adding notes or selecting currency accounts, and much more (only relevant if the Workflows component is enabled for the client) under Tools > Workflow.

  • We recommend creating a simple fallback workflow for every client, which makes sure that documents that do not meet the triggers of any other workflow always go through proper approval.

  • Consider whether to create mandatory workflows that must always be completed before a document can be finally approved.

7. Advanced settings

Make sure to decide which advanced settings should be turned on for the client under Settings > Advanced. Read more about advanced settings in Corpay One here.

  • We recommend turning on all settings under Settings > Advanced > Workflow, including selecting a default approver.

You and the client should now be ready to start using Corpay One!

Start using Corpay One

Start adding documents and check that everything works as planned, so you can fine-tune Corpay One as early as possible.

We recommend keeping a particularly close eye on the following:

1. Workflows:

Are documents sent for approval, and are actions carried out as expected?

2. Integrations:

Is the data synchronized correctly to the client's accounting or ERP system? Any integration errors are shown on the individual document in Corpay One under the Integrations tab.

3. Payments:

Are the client's payments completed as they should be?

4. Coworkers:

Can the coworkers access the areas of Corpay One they need?
