What are workflow templates?
In the Advisor Dashboard, you can create a workflow and save it as a template.
You can then pick from your templates when you create workflows for your clients, so you don't have to spend time building the same workflows over and over.
You can also give clients access to selected templates from their own organization.
You or the client can always adjust a template so that it fits the individual organization.
Where do I find workflow templates?
Click Workflow in the side menu of your Advisor Dashboard. Here you can see all existing workflow templates. You can also create new workflows here and choose which clients the workflow should be added to.
How do I create a workflow template?
1. Click Create new template in the top right corner.
2. This opens the workflow tool, where you set the workflow up. It is the same tool that clients can open directly from their own account. You can read more about how to use the tool here.
Once you have chosen triggers, actions, a name and so on for the workflow, save it by clicking Save template.
3. You are now asked whether the workflow template should be shared with your clients.
If you share the template with your clients, they can select the workflow template themselves under Tools > Workflow > Templates in their own organization. A new menu called "Shared by [your organization's name]" appears there, where the client can choose from all the workflow templates you have shared.
If you do not share the template with your clients, they cannot select it themselves. You and your staff can still choose it among the templates in the Advisor Dashboard.
The workflow template has now been created and appears in the overview. The tag below the template name shows whether it is shared with your clients, and you can easily change this by clicking the button to the right of the tag:
You can always edit a workflow template by clicking the pencil icon on the right and making the changes you want. Note, however, that such changes do not take effect for clients who are already using the workflow.
How do I add a workflow template to a client?
Once you have created a workflow template, you can easily add it to one or more clients, so that the workflow becomes active in the selected clients' organizations in Corpay One.
1. Find the template you want under Workflow in the Advisor Dashboard, and click + Add to clients on the right:
2. This opens a window showing all clients and your own organization. Click the button to the right of the organizations the workflow should be added to. You can also add the workflow to all clients in a selected access group under the Access groups tab.
Once you have added the workflow to a client, you cannot remove it again. The workflow can, however, be removed directly from the client's own account under Tools > Workflow in the side menu.
