Creating a new client
1. To create a new client, first go to the Clients menu in your Advisor Hub:
2. Then click the Add New Client button in the top right corner:
3. You now start creating the client (you can also create several clients in one go). First you choose whether you want to use Corpay One internally or externally.
Internal: The client is not involved in using Corpay One; Corpay One's payment component cannot be used; you as the Advisor are billed for the client's usage of Corpay One.
External: The client can be involved in using Corpay One; Corpay One's payment component can be used; you can choose to have the client billed directly for their own usage of Corpay One.
Click the option you want, then click Next to continue:
4. Now choose who is billed for the use of Corpay One: your organization or the client's organization.
Note that you can only bill the client directly if you chose an external agreement in the previous step.
Click Next to continue.
5. Now enter the CVR number (Danish company registration number) of the client you want to create. If you want to create several clients, just enter the CVR number of the first client, and another field appears where you can enter the CVR number of the next client. You can also create the client with a production unit (P number). Read more about this here.
If a CVR number cannot be approved, or if the organization already exists in Corpay One, you will be told so in the field.
If you have a spreadsheet with several clients you want to create, you can import the spreadsheet by clicking Import clients via CSV at the bottom of the window. Read more about this further down in this article.
Click Next to continue once you have entered the CVR numbers of the clients you want.
6. Now choose which components to enable for the client - that is, which features the client should have access to.
Inbox: This is the core functionality in Corpay One (data capture from documents and synchronization with the accounting or ERP system). This component cannot be turned off.
Workflow: The real Corpay One magic. Workflows can automate approval procedures and a wide range of everyday accounting tasks in Corpay One. Only turn this off if the client should get the absolute minimum out of Corpay One, in which case only the account owner in the client's organization will be able to approve documents for payment.
Pay: Corpay One's payment module. With this component, the client can pay invoices and coworker reimbursements directly in Corpay One from a bank account. Can only be selected for clients set up for external use (step 1 in the client setup).
Click Next to continue.
7. If you did not deselect the Workflow component in the previous step, you can now choose from your workflow templates and add one or more workflows to your new client's account in Corpay One. You can also create a new workflow template right away by clicking the Create new button below the search field.
Click Next to continue.
8. You can now choose which users on your staff should have access to the client. To do this, select one or more access groups. You can also create a new access group at the same time.
You can also select a user as the client owner for the client. The client owner is notified about activity and outstanding tasks in the client's organization.
Click Next to continue.
9. You now get a final chance to make sure all your choices are correct. You can click any step of the setup in the list on the left to go to that step.
When you are happy with everything, click Create clients to continue.
Note that the more clients you create in one go, the longer the next step takes.
10. If Corpay One has not run into any errors while creating the clients, you get a final confirmation that the client has been created - congratulations! đ Otherwise, you will be told what caused the error.
Click OK to close the setup and return to the Advisor Dashboard home page. The newly created clients can now be reached from the Clients menu in the Advisor Dashboard.
How to import several clients at once from a .CSV file
When you create a client (see the guide above), you can easily import a .CSV file with as many clients as you want at once. You choose this in step 3 of the client setup:
1. Click Import clients via CSV.
2. Then click the Choose file button to select the .CSV file on your computer that holds the client details. The .CSV file must contain two columns: the client's CVR number and the client's name.
You can cancel the import at any time and go back to creating clients manually by clicking Cancel import at the bottom of the window.
3. Now choose which column in the file holds the client's CVR number and which column holds the client's company name. You do this in the two drop-down menus. You can see a preview of the imported data below the drop-downs.
Click Import when you have made your choices, then continue from step 5 in the guide above.
đĄ Do the two columns show up as one when you open the drop-downs? Then the file is not comma-separated. Make sure the file is set up as comma-separated and upload it again.
