Learn how to use accruals to spread a bill's expense across the accounting periods it relates to, manage accruals, and reverse or edit them.

What are accruals?

Accruals let you spread a bill's expense across the accounting period or periods it actually relates to.

Instead of posting the full expense in the month the bill is dated, you can spread the expense across the relevant periods. This makes sure your financial reports reflect when the cost was actually incurred.

Accruals are a posting tool. The feature changes how an expense is recognized over time in your accounting system, but it does not change when the bill is paid.

When should you use accruals?

Accruals are relevant when a bill covers a period of time rather than a single moment.

For example:

  • Software subscriptions

  • Insurance

  • Retainer agreements

  • Prepaid services

When you accrue these bills, the expense is spread automatically across the relevant accounting periods.

Example

You receive an annual software invoice of DKK 12,000 in January, but the subscription runs for the whole year.

Instead of posting the full expense in January, you can accrue the bill over 12 months. Each month, DKK 1,000 of the expense is recognized, so the cost is spread across the entire subscription period.

⚠️ Beta feature

Accruals is currently available as a beta feature and is only supported with the e-conomic integration.

This means that:

  • The feature may change or be adjusted while it is in beta.

  • Accruals only sync with e-conomic. Other accounting integrations are not yet supported.

  • Accruals can currently only be made on a monthly basis.

  • Each accrual requires a VAT code and can be assigned a category, which determines the expense account it is linked to.

  • Accruals are created per bill and are managed either from the individual bill or from Tools > Accruals.

Note:

When setting up in e-conomic, we recommend that you create a separate general ledger account on the balance sheet for accruals made through Corpay One. This helps ensure that the account only contains journal entries created by the system, which safeguards the basis of the account. If there are no manual entries on this account, the account can be reconciled 1:1 using the accruals overview.
