Why create workflows from existing documents?
When you create workflows this way, just a few clicks ensure that future, similar documents activate your workflows, appoint approvers, and automatically perform a number of relevant actions:
When you create a workflow from an existing document, the workflow is automatically filled in with the existing document's details as triggers. This way you not only avoid spending time entering the details manually, you also avoid errors, because the workflow matches the existing document perfectly.
How do I create a workflow from an existing document?
Click the three dots in the upper right corner of the document, and select Create workflow from the dropdown. This automatically opens the workflow creator:
First make sure that the workflow looks the way you want it to (see the next section). Then click the Save and activate button at the bottom of the window.
The workflow is now active and will be activated by future documents that match the workflow's triggers.
How does a workflow created from an existing document look?
Let's use the following document as an example:
The workflow created from this document will look like this:
The document's vendor name is inserted as the workflow's name.
The document's amount, currency, and vendor name are inserted as the workflow's triggers.
You are inserted as the workflow's approver.
The document's category, department, and note are inserted as actions.
Can I edit a workflow created from an existing document?
Yes, you can edit this kind of workflow just like any other workflow. The only difference between this workflow and the workflows you create manually from the Workflow menu is that the workflow is set up in advance as described above.
