Under Tools > Workflow you see all of the company's workflows. Next to each workflow there are four icons on the right-hand side.
Edit
Opens the workflow in the workflow tool, where you can change triggers, actions and approvers. Remember to click Save and activate when you are done.
⚠️ If you have turned on Approval of workflow changes, your change only takes effect once a designated coworker has approved it on the Pending approval tab. If the change is rejected, the workflow is deleted.
Copy workflow
Creates a copy of the workflow that you can adjust. It is the fastest route when you have several workflows that resemble each other – for example the same approval order but different amount thresholds.
Disable and enable
A workflow can only be triggered by new documents if it is active. If the ⏸ symbol is shown, the workflow is turned on.
Important: If you disable a workflow, it is not removed from the documents where it has already been triggered. Documents that are in the middle of an approval process therefore continue to follow the workflow that caught them.
💡 Disabling is the gentle way to pause a workflow. If you just need a break for a period – for example over a financial close – disable the workflow rather than deleting it.
Delete
Removes the workflow permanently. If you need it again later, it has to be created from scratch, so consider disabling it instead.
