A workflow that is set up too broadly can send hundreds of documents to the wrong approver. One that is set up too narrowly does nothing – and that is often not discovered until weeks later. You can avoid both with a single click.
How to do it
Create or open a workflow in the workflow tool under Tools > Workflow.
Select the triggers you want to use.
Click Test and review to the left of the Save button at the bottom.
Corpay One now shows all existing documents in your account that meet the workflow's triggers. Those are the documents the workflow would have been triggered by, if it had existed.
How to read the result
The list is empty: The triggers are too narrow, or they miss the mark. That often happens if the Keyword trigger is looking for a word that is not on the documents, or if the workflow is missing the Type trigger and therefore does not cover receipts.
The list is much longer than expected: The triggers are too broad. Consider adding another trigger – for example both vendor and an amount threshold.
The list looks right: Then you are ready to click Save and activate.
Note
The test looks at existing documents and changes nothing about them. No approvers are assigned, nothing is coded and nothing is paid because you run a test.
The test shows which documents meet the triggers. It does not show whether the workflow would actually have been triggered – if the workflow is marked as a fallback workflow, for example, it is only triggered if no other workflows are triggered.
