What do I need to have ready for the FX verification (KYC)?

An overview of the documents and information you need to have ready before you start the KYC process for our FX solution, so you are not stopped halfway through.

Checklist – have this ready before you start ✅

Use this checklist to make sure you are ready to complete the verification without interruptions:

☐ CVR number (Danish company registration number) and company address ready

☐ Valid photo ID ready for each beneficial owner (25%+ ownership) - passport, national ID card or driver’s license

☐ Valid photo ID ready for any authorized signatories

☐ Proof of address (no more than 3 months old) ready for each owner - see the list of accepted documents below

⚠️ All documents in PNG, JPG, JPEG or PDF format

⚠️ Note: uploaded documents are not saved if you save a draft and continue later. You have to upload them again when you resume, so have them ready in digital form before you start.

Why is it a good idea to prepare in advance?

The verification form has 5 steps and requires you to upload documentation in step 4. To avoid having to interrupt the process halfway through - for example because you are missing a physical document in digital form - we recommend that you gather all the material before you get started.

What you need to have ready – step by step

Steps 1–3: Company and director details

You fill in basic information here. No document upload is required, but have the following at hand:

  • CVR number

  • The company address

  • The full name and title of the director

Step 4: Ownership information (documents are uploaded here)

This step requires documentation for each owner who holds 25% or more of the company, as well as any authorized signatories.

For each owner, you need to upload:

1. Owner verification ID A valid photo ID taken in clear light without glare. Accepted formats: PNG, JPG, JPEG, PDF.

Examples of valid ID: passport, national ID card or driver’s license with a photo.
⚠️ Have the physical ID ready – it has to be photographed in good lighting before you upload it.

2. Proof of address Only one document is required. Choose one of the following - most of them have to be dated within the last 3 months:

Document

Note

Health insurance card (sundhedskort / sygesikringskort)

No requirement as to when it was issued.

Bank statement

Dated within the last 3 months

Bank letter

Dated within the last 3 months

Hitta.se

Only if you live in Sweden

Driver’s license showing your address

Can only be used as proof of address if it is not already used as the verification ID

Utility bill

Dated within the last 3 months

⚠️ Important: if you use your driver’s license as photo ID, it cannot also be used as proof of address. In that case, have an alternative proof of address ready - for example a bank statement or a health insurance card.

For authorized signatories, you need to upload:

1. Authorized signatory verification ID A valid photo ID taken in clear light without glare. Accepted formats: PNG, JPG, JPEG, PDF.

Step 5: Final authorization

Here, the person completing the form confirms their own details and accepts the terms and conditions. No document upload is required.

Special requirements for certain types of company

Depending on your company’s industry, additional documentation may be required beyond the standard KYC process described above. In those cases, Corpay One will contact you with the relevant questionnaires.

This applies to the following industries:

  • Fintech companies must complete a Fintech Business Summary describing the business model, money flows and whether there is any exposure to cryptocurrency. Supporting documentation such as an AML audit report and a compliance program is also required.

  • Travel and tour operators must complete a Travel & Tour Company Questionnaire covering payment methods, international presence and the intended use of the account.

  • Charitable organizations must complete a Charitable Organizations Questionnaire describing the organization’s activities, donor base, internal controls and screening of business partners.

  • E-commerce companies must be able to account for their products and services, customer types (B2B vs. B2C) and the flow of money through the Corpay account from the original source to the final recipient. Documentation of a compliance program, a list of prohibited customer types and transaction monitoring procedures is also requested.

  • Companies within the EEA (European Economic Area) may be subject to additional regulatory requirements depending on the country of registration and the type of business.

  • High Value Dealers – companies that accept cash payments of €10,000 or more – must complete a separate questionnaire about compliance procedures, risk assessment and registration with the relevant authorities (for example HMRC in the UK).

If you are unsure whether your company falls into one of the categories above, feel free to contact us before you start the verification.
