e-conomic: How to prepare your e-conomic agreement for Corpay One

To connect Corpay One with e-conomic, your e-conomic agreement must meet a number of requirements.

Read on for a full overview of how to prepare your e-conomic agreement so that you can set up Corpay One's integration for e-conomic correctly.

Turn on the Scanning add-on module in e-conomic:

This ensures that Corpay One can synchronize documents between your company account in Corpay One and your e-conomic agreement.

You must create vendor group no. 1 in e-conomic:

This ensures that Corpay One can automatically create new vendors for the documents you add to Corpay One. If, like most people, you use a standard setup in e-conomic, you already have this vendor group.

You must make sure that the vendors for the documents you add to Corpay One are marked as open

This ensures that Corpay One can create vendor invoices and vendor payments for the correct vendors.

Tip: Create a separate document/number series for vendor invoices synchronized from Corpay One to e-conomic

This way you avoid vendor invoices synchronized from Corpay One to e-conomic overlapping with entries in other journals. Such an overlap can cause a vendor invoice's document to appear on other vendor invoices with the same document number, or the document to be missing from the corresponding vendor payment.

Tip: Corpay One cannot synchronize data to closed fiscal years

This may be self-evident, but keep in mind that Corpay One cannot create or update entries in fiscal years that are closed.

Tip: Create a journal for entries created by Corpay One

You decide for yourself which journals you want to use for entries created by Corpay One, but we recommend that you create a journal that contains only these.

Tip: Set up the numbering in the journal

In the journal you have selected, we recommend that you set the numbering to cover future entries. When the maximum number is reached, you need to extend the numbering by the number of entries you want, so that we can synchronize documents to the journal again.

Tip: Set up the journal to create entries

We recommend that you set up the journal so that it can create invoice, payment and general ledger entries. We recommend doing this for every journal that Corpay One is to create entries in.

Tip: Keep the accounting period open until the last document has been approved in Corpay One

We recommend that you wait to close the fiscal year or accounting period until the last document from the period has been synchronized from Corpay One to e-conomic.
