How to choose a primary department for a coworker

Learn how to choose a primary department for a coworker, so it is selected automatically on documents that coworker adds.

What is a primary department?

If a primary department is selected for a coworker, this department will automatically be shown on documents added by that coworker.

  • You don't have to choose a primary department for a coworker, so if a coworker without a primary department adds a document, you can easily select a department for the document afterwards in the department field on the document:

How do I choose a primary department?

Go to Settings > Team and click the coworker you want to choose a primary department for. You can now choose a primary department for that coworker:

You can choose from departments that already exist on the company account (if no departments have been created on the company account, the option to choose a primary department will not be visible). If you use departments in your company's accounting system, you can import them into Corpay One and choose from them here. Otherwise, you can manually create all the departments you need under Settings > Lists > Departments before you choose the primary department for a coworker.

Departments and visibility of categories

For coworkers assigned a primary department, you also have the option of limiting which categories they have available for coding documents.

Go to Settings > Lists > Departments and make sure the departments you want have been created, then assign the relevant department to a coworker on the coworker's profile under Settings > Team.

You can then click the pencil icon on the department in question to open the department's available categories and manage the visibility of these.

The available categories under a department are based on your chart of accounts. That is, if a category has been hidden in the overview on the primary chart of accounts, it will not be found under the individual department's available categories.
