What are lists?

An overview of what lists are and how you can use them in Corpay One.

What are lists?

Lists are Corpay One's simple way of letting you categorize your documents, and you find them under Settings > Lists in the left sidebar. Each list consists of a number of labels, and you can apply each of them to your documents as needed.

Once you have created a list and set its visibility - that is, which document types the list should appear on - the list appears as a drop-down menu on the selected document types in your overview:

You can edit lists yourself and create as many as you want. There is, however, one special type of list that is always visible on all documents and is created automatically on your account: Categories, which is Corpay One's term for a chart of accounts.

Examples of the most common lists

Categories (chart of accounts)

"Categories" is the term Corpay One uses for your chart of accounts. When you first sign up for Corpay One, the categories list is already filled with a number of default categories. However, these are overwritten by your actual chart of accounts as soon as you set up an integration with your accounting system.

Payment methods for receipts

Since a receipt is purely documentation of a payment that has already been made, no payment takes place for these documents in Corpay One, and Corpay One therefore can't automatically identify a matching payment method and contra account for the receipt. That is why you need to create a list yourself with all the payment methods and matching contra accounts for your company's receipts, and make that list visible on receipts. How to create a list

In Corpay One you can create a list in three ways, described below.

Import the list from your accounting system

When you set up an integration between Corpay One and your accounting system, you get the option to import your entire chart of accounts - both expense accounts and contra accounts.

Your chart of accounts is added automatically under Settings > Lists > Categories once you have set up an integration. Other lists imported from your accounting system also appear on the Lists page, and the title of each list tells you whether it was imported through an integration:

Create a list manually

  1. Go to the Settings > Lists page from the left sidebar.

  2. Click Create new, and give the new list a name.

  3. Create each label in the list by typing the name of the label in the Name field, and press Enter to save the label.

Import a list from a CSV file (for example from Excel)

  1. Create and save a CSV file with all the labels you want to import into the list.

  2. Go to the Settings > Lists page from the left sidebar.

  3. Click Create new, and give the new list a name.

  4. Click Import, and select the CSV file you saved earlier.

  5. The imported list then appears. Note that the order of the labels in the list mirrors the order of the labels in the CSV file.

How to add a label to an existing list

Go to Settings > Lists from the left sidebar, and then select the list you want to add a label to. Type the name you want for the new label in the Name field, and press Enter to save the new label and add it to the list.

Tips

  • You can edit and delete labels by clicking the name of the individual label and by clicking the trash can icon to the right of each label, respectively.

  • When you hover over a label, the Add automatically button appears. If you select it, that label is selected automatically on all future documents once they have been approved.

  • You can delete a list by clicking the small gear icon in the upper right corner.
