How to appoint temporary approvers

In Corpay One you can easily appoint a temporary approver for a coworker who is on vacation or leave. Read more in this article.

From time to time, coworkers in your company will be away for a period - because of vacation or parental leave, for example - and will not be able to approve the expenses they are appointed to by workflow rules.

Fortunately, you can easily have Corpay One automatically appoint another coworker as the temporary approver for a coworker who will be temporarily away from the company. That way you can always make sure the company's expenses are approved on time, even when your coworkers are occasionally away.

How to appoint a temporary approver

1. First find the coworker who will be temporarily away from the company under Settings > Team. Then click the three dots next to the coworker's name and select Temporary approver from the drop-down menu.

2. A window now opens, where you first have to turn the setting on. Every workflow that appoints the coworker as an approver is listed at the bottom of the window. You now select the coworker to be appointed as temporary approver for each workflow, or do it for all workflows at once (you can appoint as many temporary approvers as you like). You can also select an end date, so that the temporary approver is changed back to the original one on the date the coworker returns.
Click Save to save your selection.

3. You will now see the Away label next to the coworker's name in the team overview. This means that a temporary approver is currently appointed for that coworker.

4. To view, change and delete the coworkers appointed as temporary approvers, open Temporary approver from the three dots next to the original coworker's name:

Please note!

  • A temporary approver is only appointed if the original coworker is appointed by a workflow. If the original coworker is appointed manually, the temporary approver is therefore not appointed.

  • When you remove a temporary approver, documents still awaiting approval are not moved back to the original approver.

  • You cannot appoint a temporary approver for a temporary approver.
