Categorizing expenses in Corpay One

There are several ways to categorize your company's documents - here's an overview.

Before you can categorize your documents, you first need to import your chart of accounts from your company's accounting or ERP system. This requires you to set up an integration between Corpay One and that system. The integration setup lets you import your chart of accounts, but it looks a little different depending on which integration you use. Categorizing with workflows

With actions in Workflow, you can categorize all your documents automatically. You simply set up one or more workflows that automatically select the right category, project, department and so on, based on what appears on the documents added to Corpay One. Manual categorizing

You can always select a category/account for a document manually by clicking the category drop-down menu on the individual document in the overview. Then select the category you want from the menu:

Simple, automatic categorization

If you select a category manually on the first document from a vendor (see above), the same category is automatically selected for future documents from that same vendor - unless you have set up a workflow that automatically selects a different category.

Changing a category name

If you want to give a category a specific name in Corpay One so that your coworkers can find the right categories more easily, you can do this under Settings > Lists > Categories by clicking the small pencil icon next to the category (don't worry - the category's original name is still visible in the overview, and the name is only changed in Corpay One, not in your accounting or ERP system).
