What is the integration log?
When you use Corpay One's integrations with ERP systems and accounting software to synchronize documents and payments automatically to your company's accounting system, you can easily get an overview of everything the integrations do.
Among other things, this helps you understand what data Corpay One has sent to your accounting system, what to do if Corpay One has run into errors while synchronizing data, and much more.
The integration log also lets you synchronize data manually between Corpay One and your accounting system if you want to.
Where do I find the integration log?
You can find the integration log for an individual document under the Integrations tab on each document:
When you click the Integrations tab, select the integration you want to see the integration log for from the drop-down menu:
Once you have clicked the integration you want, the integration log appears:
In the integration log you can now see which entry type has been synchronized to your accounting system, or has failed to synchronize.
This is shown clearly on the integration event:
What can I use the integration log for?
The integration log for a document can be used for two things:
1. You can get an overview of all successful and failed attempts to synchronize data between Corpay One and the accounting system
The integration continuously attempts to update data between Corpay One and the accounting system. This happens both in connection with "major" events (the document has been approved, the document has been paid, etc.) and "minor" events (the document's due date has been changed, the document's category has been changed, etc.), so that the corresponding entry in the accounting system is updated correctly. The integration log shows both automatic and manual synchronization attempts (for the latter, see the next section).
If a synchronization attempt fails, an error message also appears in the integration log that can help you and Corpay One's support team fix the error.
Integration errors can be caused by several things, including temporary server errors, errors in the integration setup, changes in the accounting system, and so on. You can always get guidance from Corpay One's support team at support@corpayone.com if you cannot work out an integration error yourself.
2. You can manually synchronize the document to the accounting system
By clicking the Sync again button, you can manually synchronize a document to the accounting system using the selected integration:
After you click the Sync again button, a new window opens where you choose which entry in the accounting system you want to synchronize to: the invoice entry (also called the vendor invoice) or the payment entry (also called the vendor payment). Select the entry you want, and click the Re-sync button:
Of course, it is only possible to synchronize to the payment entry if a payment has actually been made for the document. If no payment has been made for the document, the Vendor payment option will not be visible.
When you perform a manual synchronization of a document, two things can happen:
If the entry already exists in the accounting system, that entry is updated to match the document's details in Corpay One as they were at the time of synchronization. An update can only be made if the entry has not been posted or deleted.
If the entry does not exist in the accounting system, a new entry is created that matches the document's details in Corpay One as they were at the time of synchronization. Only one entry type (vendor invoice, vendor payment, general journal entry) can be created per document in Corpay One. A re-sync will not create a new entry type in your accounting system.
When you have performed a manual synchronization of a document, it will also appear in the activity log.
